About the role
We are looking for an In‑House Functions Organiser to coordinate all events and functions held in our London office on a 12‑month fixed‑term basis. You will act as the central point of contact for internal teams, clients and third‑party vendors, ensuring each function is delivered to the high standards expected by Hogan Lovells.
Key responsibilities
- Provide a visible and accessible presence for the coordination of all function‑related activities within the London office.
- Serve as the first point of contact for third‑party functions, gathering and disseminating all necessary information to relevant teams.
- Liaise with internal staff, clients and external suppliers to arrange catering, audio‑visual equipment, room set‑ups and décor.
- Work closely with the Client Host team as a System Administrator for the ServiceNow room‑booking platform.
- Identify and manage health and safety risks in collaboration with the Health and Safety manager.
- Oversee or assist on‑site during functions to ensure smooth execution.
- Review and improve the overall approach to function management, including costing, invoicing and reporting.
Required profile
- Strong organisational and coordination abilities.
- Excellent communication skills with internal and external stakeholders.
- Attention to detail and ability to manage multiple priorities.
- Proactive attitude towards health and safety compliance.
Required skills
- Experience administering ServiceNow or a similar room‑booking system.
