Purchasing & Stock Control Manager

About the role

The Pembroke, a historic private club in Belgravia, London, is seeking a commercially‑focused Purchasing & Stock Control Manager. The role is responsible for end‑to‑end procurement and inventory across beverage, operating supplies and equipment, ensuring a reliable, high‑quality supply base for all club departments.

Key responsibilities

• Manage the supplier list across all operational categories, including beverage, operating supplies, FF&E and services.
• Ensure agreed pricing, terms and service level agreements are adhered to, delivering best value without compromising quality.
• Maintain current, compliant and commercially sound third‑party procurement contracts.
• Conduct regular supplier reviews, benchmark performance against KPIs and address any shortfalls.
• Onboard new suppliers, ensuring relationships meet the club’s quality and commercial standards.
• Issue and manage purchase orders, verify requisition accuracy and track delivery timelines.
• Track monthly volumes across beverage supplier contracts and retro agreements, recording all retro and free items.
• Implement purchasing policies, systems and procedures in line with club standards.
• Serve as system owner for procurement and stock management platforms, including EPOS and purchasing tools, administering user access and system configuration.
• Maintain the accuracy and integrity of all system data related to procurement and inventory.

Required profile

• Commercially minded with strong procurement experience.
• Proven ability to manage supplier relationships and contracts.
• Experience in beverage stock control, including intake, storage logistics, cost control and wastage management.
• Familiarity with food receiving processes and collaboration with kitchen teams.
• Ability to work closely with the Beverage Director and other department heads to ensure consistent stock availability.
