About the role
An independent preparatory school in West London is looking for a professional, organised, and approachable School Office Administrator & Co‑Registrar. You will support the smooth day‑to‑day running of the school office and play a key role in the admissions process for Reception pupils.
Key responsibilities
- Provide administrative support to ensure the smooth operation of the School Office.
- Act as the first point of contact for pupils, parents, staff and visitors, handling enquiries in person, by phone, email and video.
- Manage incoming calls, redirect queries, and take accurate messages.
- Oversee and maintain the school’s Management Information System (iSAMS), including attendance, pupil records, reporting cycles and data accuracy.
- Update school calendars and coordinate communications such as weekly parent mailings.
- Support whole‑school events including photographs, vaccinations and uniform fittings.
- Prepare correspondence and maintain confidential records to a high standard.
- Manage Reception admissions: organise open mornings, coordinate interview schedules, prepare offer letters, handle documentation and liaise with feeder nurseries and previous schools.
- Assist with onboarding of new pupils and communicate with incoming parents.
- Provide First Aid support when required and undertake additional administrative tasks as needed.
Required profile
- Previous school administrative experience within an education setting.
- Excellent communication and interpersonal skills with a warm, approachable manner.
- Strong organisational abilities and the capacity to manage multiple tasks and deadlines.
- High level of discretion, professionalism and attention to detail.
- Ability to remain calm under pressure and handle sensitive situations effectively.
Required skills
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint).
- Experience using school management systems, specifically iSAMS.
