Event Coordinator (Part‑time, Hybrid)

About the role

Lumina Drones, a leading UK drone light‑show company, is seeking a proactive Event Coordinator to support the planning and delivery of its spectacular aerial events. This part‑time, hybrid role blends remote administration with regular travel to venues across the UK and occasional international locations.

Key responsibilities

• Liaise with venues to manage event logistics, operational requirements and site access.
• Coordinate suppliers, contractors and production partners supporting each show.
• Source, book and manage entertainment acts and attractions that accompany the drone displays.
• Arrange accommodation, transport, equipment movements and crew scheduling.
• Maintain event timelines, planning trackers and operational schedules.
• Prepare event documentation and operational plans.
• Facilitate communication between clients, venues, suppliers and internal teams.
• Attend events on‑site to ensure smooth delivery, including VIP hosting and stakeholder management.
• Support post‑event reporting, supplier reconciliation and client follow‑up.

Required profile

• Previous experience in event planning, operations, venue management, festivals or entertainment production.
• Excellent organisational skills with strong attention to detail.
• Ability to manage multiple projects and deadlines simultaneously.
• Comfortable working independently and taking ownership of tasks.
• Willingness to travel nationally and internationally and work flexible hours, including evenings and weekends.
• Full UK driving licence preferred.
