Sales Vehicle Administrator – Motor Dealership

About the role

We are recruiting a Sales Vehicle Administrator to join a busy, established motor dealership. This role offers an organised, detail‑focused professional the chance to manage vehicle sales administration, stock, invoicing, funding and related processes.

Key responsibilities

• Manage accurate records for new and used vehicle stock across multiple brands.
• Monitor vehicle movements, stock status and update records.
• Prepare and process vehicle invoices within required timescales.
• Administer additional products and services linked to vehicle sales.
• Complete and monitor government grant applications for eligible electric vehicles.
• Raise vehicle settlement requests and prepare supporting documentation.
• Process administration for direct vehicle purchases.
• Manage vehicle funding administration and liaise with finance companies.
• Reconcile fully paid vehicles, ensuring payments and documentation are correct.
• Liaise with Sales, Accounts, finance providers and suppliers to resolve queries.

Required profile

• Previous administration experience within a motor dealership (essential).
• Excellent attention to detail and high accuracy.
• Strong organisational and time‑management abilities.
• Good numerical and financial awareness.
• Ability to work independently and as a team player.
• Capability to handle a high volume of administration and competing priorities.

Required skills

• Proficiency with Microsoft Office.
• Experience using dealership management systems.
