Client Care Administrator – IFA (Hybrid)

About the role

This is a client‑focused administration position within a respected financial planning firm. Working closely with financial advisers and paraplanners, you will ensure a seamless service experience for clients while supporting day‑to‑day business operations.

Key responsibilities

• Manage adviser diaries, schedule annual reviews, introductory meetings and client appointments.
• Coordinate meeting schedules and keep adviser calendars organised.
• Handle Letters of Authority and Transfers of Service, track requests and liaise with providers.
• Chase outstanding information and maintain accurate records across internal systems.
• Process provider documentation such as fund switches, fee amendments and Bed & ISA transactions.
• Support advisers with routine client servicing tasks and answer client enquiries.
• Log and distribute incoming and outgoing post while ensuring compliance with internal procedures.

Required profile

• Previous experience in an IFA or financial planning administration/client servicing role.
• Excellent organisational ability with a strong attention to detail.
• Professional communication style and client‑focused attitude.
• Proactive mindset and ability to work collaboratively within a team.
