Events Manager (12‑month Fixed‑Term Contract)

About the role

Thought Machine is seeking an Events Manager to join its Marketing team in London on a 12‑month fixed‑term maternity cover. You will own the creation and delivery of both internal and client‑facing events, working closely with senior stakeholders and C‑level executives to meet strategic objectives.

Key responsibilities

• Plan and execute events from concept to completion, aligning with objectives, audience and brand guidelines.
• Research and select venues across London, APAC and AMER, ensuring they reflect the company’s look and feel.
• Source, negotiate and manage suppliers for catering, production, AV and other services.
• Coordinate with stakeholders, keep them informed on logistics, and review event content.
• Prepare and maintain documentation such as supplier briefs, timelines, budgets and proposal decks.
• Onboard suppliers onto internal finance systems, conduct compliance checks and oversee invoice processing.
• Manage event budgets, negotiate contracts and track expenditures.
• Handle invitee and guest management, and communicate event details company‑wide via email and Slack.
• Deliver onsite execution, including travel for global events, and conduct post‑event surveys and debriefs.
• Oversee the swag fulfilment warehouse and online store, managing inventory and order processing.

Required profile

• Proven experience in end‑to‑end event planning and execution.
• Strong stakeholder management and communication skills.
• Ability to manage budgets, negotiate contracts and ensure financial compliance.
• Comfort with coordinating events across multiple regions and travelling as required.
• Detail‑oriented approach to documentation, supplier management and post‑event analysis.
