Executive Assistant to Head of Projects (Hybrid)

About the role
We are looking for a highly organised Executive Assistant to support the Head of Projects in a design‑led interior refurbishment business serving the education sector. The role is split between the head office in Hemel Hempstead and the site office in Twickenham, with one remote day per week, and runs on a fixed‑term basis until October 2027.
Key responsibilities
- Manage the Head of Projects' email inbox, sorting mail and prompting team members to act on tasks.
- Maintain diary and schedule for the Head of Projects and the Commercial Manager.
- Update and monitor project and procurement trackers, ensuring timely action.
- Prepare monthly progress reports and assist with cost‑control summaries.
- Attend project meetings, take minutes and distribute them as required.
- Control document filing on SharePoint and upload relevant files to Asite.
- Process purchase invoices through the designated software.
- Support site office logistics, including supplies, cleaning contracts and O&M file setup.
Required profile
- Proven office experience with strong organisational abilities.
- Experience managing email and diary for senior managers.
- Previous exposure to the construction or interior‑fit‑out environment is preferred.
- Excellent communication skills and ability to work collaboratively across teams.
Required skills
- Microsoft Office, especially Excel.
- Microsoft 365 suite – Outlook, SharePoint, Teams.
- Familiarity with document‑control platforms such as Asite.
