Administrator Team Leader

About the role

We are looking for an organised and proactive Administrator Team Leader to join our Gas Installation Department. This office‑based position works closely with engineers, surveyors, customer service teams and management to ensure installation works are scheduled, planned and completed efficiently.

Key responsibilities

• Lead, coach and develop the installation administration team, conduct appraisals and manage performance.
• Coordinate annual leave, absence management and handle escalations, disciplinary and grievance matters.
• Deputise for the Office Manager when required.
• Oversee engineer and subcontractor scheduling, ensure appointments are booked within agreed timescales and maintain forecasting plans.
• Monitor work in progress, drive timely job completion and meet budget requirements.
• Act as primary contact for customers and manage key client accounts with contract values up to £5 million.
• Resolve client queries, attend client meetings and maintain strong relationships.
• Extract, update and maintain information across company systems, distribute documentation and oversee invoicing for completed works.
• Achieve monthly invoice and job‑closure targets, support KPI reporting and cost‑control activities.

Required profile

• Previous experience in a supervisory or team‑leader position.
• Strong coaching, mentoring and communication abilities.
• Excellent organisational skills and ability to manage multiple priorities in a fast‑paced environment.
• Customer‑service orientation and stakeholder‑management experience.
• Flexible, proactive approach with a focus on continuous improvement.
