About the role
SpAItial is building physically‑grounded world models for AI, and needs a Business Operations Manager to own the recurring operational processes that keep the company running smoothly. You will work directly with the COO, handling finance cycles, payroll, vendor contracts, compliance, and office management for a fast‑moving, frontier‑tech startup.
Key responsibilities
- Manage the monthly finance cycle with accountants, including reconciliations, management accounts, expenses, invoicing and cash‑flow reporting.
- Own people operations: payroll, onboarding, contracts, benefits and employee documentation, ensuring an excellent first‑two‑weeks experience for new hires.
- Coordinate advisors and compliance activities, handling payroll providers, pension, healthcare, banks, insurers and legal counsel to keep the company in good standing.
- Maintain vendor relationships, contracts and renewals, especially for compute and infrastructure commitments.
- Run the London office environment, managing space, equipment, suppliers and team events to make the workplace inviting.
- Document and automate founder‑led manual workflows into reliable processes.
- Prepare inputs for board materials, investor updates and reporting packs, collaborating with German colleagues and suppliers.
Required profile
- 4+ years of experience in operations, business operations, finance operations or a similar role, preferably in a startup or fast‑moving technology company.
- Demonstrated ability to live with and improve the systems you build over time.
- Exceptional diligence – you keep detailed lists, trust your systems over memory, and close out even tedious tasks.
- Strong numeracy and comfort working with spreadsheets, spotting anomalies quickly.
- AI‑native mindset – you regularly use AI tools to streamline repetitive work.
Required skills
- Advanced spreadsheet skills
- Experience with Xero
- Familiarity with payroll platforms and HRIS tools such as Personio and Bob
- Use of expense management tools
- Knowledge of Carta
- Proficiency with Notion
- Competence in Google Workspace
