Contracts Coordinator – Facilities & Maintenance

About the role

We are seeking an organised Contracts Coordinator to support a busy contracts team in Woking. The role involves planning, scheduling and delivering contractor and maintenance services efficiently, ensuring projects run smoothly in a fast‑paced environment.

Key responsibilities

• Coordinate subcontractors, temporary staff and site schedules.
• Arrange plant, equipment hire and waste collections.
• Build and maintain strong supplier relationships.
• Schedule site visits, inspections and follow‑up works.
• Support project administration and documentation.
• Prepare and update project paperwork, including RAMS.
• Handle client enquiries and deliver excellent customer service.
• Maintain accurate records and ensure high‑standard administration.

Required profile

• Minimum 2 years administration experience in contractor, maintenance, facilities, construction or property environments.
• Experience coordinating engineers, contractors or field‑based teams.
• Excellent organisational and communication abilities.
• Strong attention to detail and ability to manage multiple priorities.
• Confidence using Microsoft Office and internal systems.
• Proactive approach, capable of working independently and as part of a team.
