Crewing Operations Coordinator – Live Events

About the role

The Crewing Operations Coordinator will support a leading international company that provides services to corporate, sport, broadcast and entertainment sectors. You will be responsible for sourcing, booking and managing on‑site technical crew for live events worldwide, ensuring all arrangements are handled efficiently and accurately.

Key responsibilities

• Source and negotiate rates for technical crew across multiple global events.
• Arrange complex travel itineraries, including flights, trains, car hire and transfers.
• Process visas, work permits and second‑passport requirements where needed.
• Maintain event accreditation records and internal crew databases.
• Update on‑site engineer and freelancer diaries using the Rental Point system.
• Monitor purchase orders, reconcile invoices and manage travel‑related expenses.
• Assess freelance engagements against IR35 tax rules and keep related records.
• Onboard new freelancers through the contractor approval process.
• Keep Public Liability Insurance data and crew documentation up to date.
• Support the scheduling of on‑site crew training and maintain the training matrix.

Required profile

• Strong organisational and time‑management abilities, able to prioritise under pressure.
• Excellent communication and interpersonal skills.
• Proven customer‑service experience with meticulous attention to detail.
• Self‑motivated, proactive and capable of escalating issues appropriately.

Required skills

• Microsoft Office suite proficiency.
