Facilities Assistant – West London (Temp)

About the role

We are seeking a proactive Facilities Assistant to support the day‑to‑day operations of a West London office. The role is full‑time and temporary (8 months) and involves maintaining a safe, well‑functioning workplace for staff and visitors.

Key responsibilities

• Conduct daily building walk‑throughs, identify hazards and perform minor repairs.
• Arrange furniture and set up AV/IT equipment for meetings, training sessions and events.
• Sort and distribute incoming mail and parcels, prepare outgoing mail and liaise with couriers.
• Monitor and replenish office consumables, track stock levels and manage storerooms.
• Escort contractors, verify permits and insurance, and ensure health‑and‑safety compliance.
• Act as Fire Warden, perform weekly fire alarm and emergency lighting tests, and carry out legionella water temperature checks.
• Log and track help‑desk tickets, update facilities management systems and assist with audit documentation.
• Greet visitors, respond to staff queries and provide a professional front‑of‑house service.
• Support office moves, sustainability initiatives and emergency drills.

Required profile

• Previous experience in facilities, maintenance or customer service is advantageous.
• Desirable certifications: First Aid at Work, Fire Warden Training, Health & Safety (e.g., IOSH).
