IFA Administrator – Financial Services Support

About the role

The IFA Administrator will provide comprehensive administrative and client support to Financial Advisers within Pareto Financial Planning, part of K3 Advisory Group. Working on a hybrid schedule, the role ensures smooth end‑to‑end client experiences while maintaining regulatory compliance.

Key responsibilities

• Obtain Letters of Authority, illustrations and prepare materials for client meetings.
• Process new business across all product types, manage fund switches and chase providers to completion.
• Follow AML procedures and ensure regulatory requirements are met.
• Handle servicing updates such as address changes, withdrawals, tax information, plan updates and death claims.
• Maintain the Intelliflo database with all transactional elements of client portfolios.
• Manage fee and invoice processing, service status and client portfolio summaries.
• Oversee document management via Papercloud and support client portal onboarding.
• Liaise with providers, platforms and internal teams to resolve queries and obtain valuations.

Required profile

• Previous experience as an IFA Administrator.
• Strong understanding of pensions, investments and protection products.
• Excellent organisational, time‑management and attention‑to‑detail.
• Effective written and verbal communication skills.

• Intelliflo (back‑office platform).
• Papercloud (document management system).
