IFA Administrator – Financial Services Support

About the role

We are looking for an experienced IFA Administrator to join our client’s Support Team in London. You will provide essential administrative support to UK Financial Advisers, ensuring smooth processing of new business and delivering high‑quality client service.

Key responsibilities

• Obtain valuations, performance data and collate client reports/application packs for advisers.
• Liaise with providers and clients, managing paperwork throughout the client journey (dealings, withdrawals, applications, bereavements, POAs).
• Maintain accurate client data in XPLAN, perform data entry, audits and ad‑hoc data projects.
• Handle incoming/outgoing post and courier, resolve queries via phone, email and post.
• Manage inboxes, tasks and workloads efficiently, providing cover for the Head of UK Support during leave.
• Provide general office support – phones, reception, meeting room bookings, supplies and health & safety.

Required profile

• Minimum 5 years of IFA administration experience, preferably within a financial adviser firm.
• Strong knowledge of ISAs, GIAs, pensions, offshore bonds and trusts.
• Familiarity with UK regulations including GDPR and the Consumer Duty.
• Industry qualifications such as IOC/IMC are preferred.
• Ability to work autonomously, maintain service standards and handle multiple tasks.

Required skills

• Proficient use of XPLAN.
• Experience with investment platforms such as Transact, 7IM and Fidelity.
• High level of IT literacy and quick adaptation to new systems.
