Job description
About the role
A fast-growing property investment firm is hiring a fully remote Investment Portfolio Administrator to keep its property portfolio organised, compliant and moving. The role is full-time, permanent and runs Monday to Friday, 08:30 - 16:30 UK time (with a 1-hour lunch break), reporting to senior operations leadership and working alongside company directors. No prior UK property experience is required; full training is provided.
Key responsibilities
- Own day-to-day administration across properties: rental statements, repairs follow-up, arrears tracking, tenant changeover admin and letting agent queries.
- Track and act on safety certificates, property insurance renewals, council tax setups and utility transitions before they expire.
- Maintain accurate records in CRM platforms, mortgage schedules, shared cloud folders and digital portfolio trackers.
- Keep a complete mortgage and refinance schedule, spotting end dates early and preparing refinances at least 3 months in advance, coordinating with brokers, lenders, valuers and legal teams.
- Manage the portfolio inbox, prioritise incoming queries and share key updates with internal operational, finance and marketing teams.
- Build working relationships with letting agents, contractors, insurers and professional advisers.
- Review portfolio cash flow, occupancy and operating costs monthly and propose at least one efficiency improvement each month, plus regular reports on portfolio position, refinance status, risks and next steps.
Required profile
- 5+ years in high-volume administration, senior operational support, project coordination or executive assistant work; remote support for international clients is highly advantageous.
- Flawless written and spoken English.
- Comfortable setting up a quiet home office with reliable high-speed fibre, backup power and a modern laptop, headset and webcam.
- Proactive owner who drives issues forward, respects decision boundaries and escalates investment, lending and strategy matters to the Directors.
Required skills
- High IT competency with spreadsheets and CRM platforms.
- Familiarity with Google Workspace tools is a distinct advantage.
- Quickly picks up new software and is open to using AI tools to streamline admin.
What we offer
- A supportive, award-winning business with a family-like team.
- Continuous professional learning, financial support for training and an assigned team buddy.
