Legal Administrative Assistant – London

About the role
We are looking for an experienced Legal Administrative Assistant to support a specialist law firm in the City of London. The role combines office administration, event coordination and client‑facing support in a hybrid working model.
Key responsibilities
- Coordinate meetings, webinars and client‑facing events, handling catering, RSVPs, room and technology setup, name badges and engagement tracking.
- Provide word‑processing support, dictation, document amendments and production.
- Plan and manage office events, budgets and external resources.
- Handle calendar management, travel arrangements and meeting planning.
- Support onboarding and off‑boarding processes with HR & IT, including mandatory training tracking.
- Assist with marketing and client development activities and events.
- Manage time‑keeping support, expense reimbursements and stationery inventory.
- Coordinate NDAs, records management, information storage, retention and retrieval.
- Oversee courier services, first‑line IT support and office service operations such as mail and reception.
- Work with the US team on emergency preparedness and disaster recovery plans.
- Provide backup support to Legal, Finance & Operations administrators for client matters, file openings and engagement letters.
Required profile
- 2‑3 years of administrative experience, preferably within a law firm.
- Associate or undergraduate degree in Business or a related field, or equivalent work experience.
- Excellent written and verbal communication with strong attention to detail.
- Ability to manage multiple priorities, work under pressure and maintain confidentiality.
- Willingness to work occasional overtime as needed.
