Operations Coordinator – On-site

About the role

The Operations Coordinator (On-site) supports the Service Team Leaders and Regional Business Managers to ensure effective rota management, compliance and consistency across the Service function. Based in the UK office, the role works on a 3‑2‑2‑3 shift pattern and includes occasional travel.

Key responsibilities

• Plan and publish regional rosters at least six weeks in advance, managing cover for absences to maintain service continuity.
• Submit payroll variances via the payroll variance app for each region to meet payroll deadlines.
• Build and maintain strong relationships with service team managers, specialists and the National Associate Network.
• Liaise with Finance on commissions, invoicing, consumables, contract set‑ups and billing for cover days.
• Record and manage sickness and holiday cover, escalating non‑compliance to the National Operations Manager.
• Collaborate with Health & Safety and Team Leaders to report, investigate and document incidents, ensuring UK legal compliance.
• Produce monthly KPI reports on driving hours, Lightfoot scores, lone‑worker device usage, cover day utilisation and conception rates for senior management.

• Proactive attitude towards health & safety and compliance matters.

Required skills

• Experience with a payroll variance application.
• Familiarity with the Lightfoot scheduling system.
• Ability to generate and interpret RMS reporting data.
