Personal Assistant – Sustainability (Hybrid)

About the role

We are looking for a highly organised Personal Assistant to support the Head of Sustainability and the wider sustainability team within a fast‑moving trading commodities business in London. This hybrid role combines executive support with team coordination, giving you exposure to both high‑level administration and collaborative project work.

Key responsibilities

• Manage complex diary, inbox and international travel arrangements for the Head of Sustainability.
• Process expenses, invoices and purchase orders, ensuring accuracy and timely payment.
• Draft, proofread and circulate communications on behalf of senior leadership.
• Organise team meetings, prepare agendas, take minutes and follow up on actions.
• Coordinate team events, off‑sites and internal initiatives, including venue and catering logistics.
• Maintain meeting room bookings and provide ad‑hoc administrative support across the sustainability function.

Required profile

• 2‑3 years of experience as a Personal Assistant or Team Assistant, preferably in financial services.
• Strong diary‑management and organisational abilities in a fast‑changing environment.
• Confidence handling finance‑related tasks such as expenses, purchase orders and invoicing.
• Excellent written English with meticulous attention to detail.
• Friendly, collaborative and proactive attitude with the ability to adapt to shifting priorities.
