Pharma Operations Clerk – Logistics

About the role

The Pharma Operations Clerk supports the air‑freight team in moving pharmaceutical and healthcare products safely and in compliance with regulatory standards. Based in Slough, you will act as a key point of contact for customers, carriers and internal teams, ensuring shipments are processed accurately and on time.

Key responsibilities

• Monitor the Operations mailbox and respond to enquiries within service level agreements.
• Maintain up‑to‑date shipment files, records and temperature‑controlled documentation.
• Prepare and verify Air Waybills, customs entries, DUCRs, MUCRs and other shipping paperwork.
• Support HMRC and Border Force audits by providing complete and accurate operational documentation.
• Investigate and resolve billing queries, discrepancies and operational issues.
• Escalate exceptions, service failures and customer concerns to the Operations Manager.
• Liaise daily with customers, overseas partners, carriers, handling agents and suppliers.
• Ensure customs compliance, including timely closure of MUCRs.
• Enter accurate operational and financial data into the in‑house system.
• Assist Sales and Product teams with cost‑effective transport solutions and cost reconciliation.

Required profile

• Strong attention to detail and ability to work to strict compliance standards.
• Excellent written and verbal communication skills for internal and external stakeholders.
• Ability to manage multiple priorities in a fast‑paced logistics environment.
• Commitment to meeting KPIs related to operations, quality and customer service.

Required skills

• Experience handling Air Waybills and customs documentation (DUCR, MUCR).
• Familiarity with temperature‑controlled and time‑critical pharmaceutical shipments.
• Proficiency in using logistics or freight management software to record operational data.
