PPM and Service Coordinator

About the role

We are looking for a PPM and Service Coordinator to join our small, dedicated facilities management team. You will be responsible for organising and monitoring monthly Planned Preventative Maintenance (PPM) schedules, ensuring that all planned work is delivered on time and to the required standards.

Key responsibilities

• Create, update and co‑ordinate monthly PPM schedules for all client sites.
• Monitor progress of scheduled work and ensure compliance with health, safety and quality procedures.
• Collaborate with the finance team to review subcontractor invoices, match them to purchase orders and completed works, and reconcile any discrepancies.
• Liaise with subcontractors and internal stakeholders to resolve issues and maintain accurate records.
• Maintain data in the Joblogic CAFM system and support continuous improvement of maintenance processes.

Required profile

• Strong attention to detail and a commitment to compliance.
• Proactive, positive attitude with the ability to work well in a team.
• Good organisational skills and the ability to manage multiple tasks.

Required skills

• Experience using Joblogic or a similar CAFM system.
• Familiarity with Planned Preventative Maintenance processes.
• Basic finance and invoicing knowledge, including PO matching.
