Proposals Coordinator

About the role

The Proposals Coordinator will join ICR’s Proposals and Commercial team in Aberdeen, supporting the preparation, coordination and processing of technical and commercial proposals and quotations. Working closely with the Commercial Advisor, sales, operations and engineering teams, the role offers a pathway to independently manage standard proposals while escalating complex matters.

Key responsibilities

• Prepare and submit accurate technical and commercial proposals from enquiry to award, following ICR’s processes.
• Create and process sales quotations and orders in SAP Business One, ensuring completeness and accuracy.
• Coordinate review and approval of proposals with technical and commercial stakeholders.
• Review client purchase orders against quotations, escalating discrepancies.
• Maintain up‑to‑date proposal, quotation and sales order records in SAP Business One and other systems.
• Support internal and client clarification requests, and organise proposal meetings.

Required profile

• Minimum 3 years experience in a proposals or commercial quotation role.
• Strong organisational, time‑management and attention‑to‑detail skills.
• Ability to work under tight deadlines and manage multiple proposals simultaneously.
• Excellent written and verbal communication in English.
• Proactive attitude with the ability to identify and escalate commercial or contractual issues.

Required skills

• SAP Business One (ERP system).
• Microsoft Word, Excel, Outlook and PowerPoint.
• Experience with CRM or other ERP platforms.
