Regional Facilities Manager

About the role
The Regional Facilities Manager will oversee the delivery of facility and property management services across a portfolio of properties, ensuring compliance with specifications, KPIs and health & safety standards. This role combines strategic contractor management, budget oversight and close collaboration with occupiers and internal teams.
Key responsibilities
- Provide facility and property management services in line with specifications and KPIs.
- Manage contractors and ensure health & safety compliance across the portfolio.
- Build and maintain positive relationships with occupiers, hosting regular meetings with the PM team.
- Support operational management of occupier fit‑out works.
- Develop and review building‑specific procedures such as Occupiers Handbook and Contractor Rules.
- Attend client meetings and briefings as required.
- Prepare and manage service charge budgets, monitor expenditure and perform annual reconciliations following RICS timelines.
- Conduct regular property inspections, arrange remedial works and upload inspection reports to H&S systems within five working days.
- Manage onsite staff including building managers, receptionists and security guards where applicable.
- Oversee supplier health & safety compliance, manage permits and monitor performance on QUOODA and Vantify.
- Authorise supplier invoices within delegated authority levels.
- Review contracts for value, prepare specifications and tender with consultant assistance.
- Ensure contracts are stored in Dwellant or the company filing system.
- Support out‑of‑hours emergency calls and liaise with suppliers for urgent attendance.
- Act as the “Workman Welcome” contact for the Glasgow office, identifying service improvement opportunities.
Required profile
- Proven experience in site/facilities management within a managing‑agent environment.
- Excellent communication skills with internal colleagues, external stakeholders and contractors.
- Strong knowledge of health and safety regulations and best practice for site management.
- Full working knowledge of relevant codes of practice, including the Service Charge Code of Practice.
- Outstanding interpersonal abilities and the capacity to plan, prioritise and manage conflicting demands.
- IOSH qualification (or equivalent).
