Senior IFA Administrator – Hybrid

About the role

We are looking for a Senior IFA Administrator to provide essential administrative support to financial advisers. You will ensure high‑quality client service, accurate record‑keeping and compliance with FCA regulations while working in a hybrid environment.

Key responsibilities

• Prepare client documentation, suitability reports and process new business applications for investments, pensions, protection and savings products.
• Maintain client records, CRM data and handle correspondence via email, telephone and post.
• Liaise with pension, investment and insurance providers to obtain valuations, policy information and fund details; track outstanding business.
• Ensure client files meet FCA and company compliance standards, complete AML and KYC checks and maintain audit trails.
• Process pension transfers, investment applications, withdrawals and fund switches, monitoring the pipeline and providing updates.
• Respond promptly to client queries, build strong relationships and support ongoing client review processes.

Required profile

• Previous IFA administration experience.
• Strong attention to detail and accuracy.
• Excellent communication and organisational abilities.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Ability to manage multiple tasks and meet deadlines.
• Knowledge of pensions, investments and protection products and familiarity with FCA regulations.
• Experience with systems such as Intelligent Office, XPLAN, Adviser Office or Dynamic Planner.
