Team Administrator – Property Management

About the role
We are looking for a proactive Team Administrator to support our property management portfolio in London. You will work closely with the facilities and leasing teams to ensure smooth day‑to‑day operations and high‑quality service for occupiers.
Key responsibilities
- Coordinate supplier visits, schedule maintenance, and track works.
- Gather competitive quotes and secure compliance documents.
- Resolve occupier inquiries and manage service requests.
- Maintain key records such as EPCs, RCAs and safety paperwork.
- Assist with service charge tasks, invoice checks and arrears tracking.
- Participate in site surveys and follow‑up actions.
- Set up administrative files for lease extensions and rent reviews.
- Process utility changes for new and departing occupiers.
- Support team meetings, portfolio onboarding and firm updates.
Required profile
- Previous experience in real estate administration or office operations.
- Strong organisational skills with meticulous attention to detail.
- Clear and articulate communication, self‑motivated and confident.
- Ability to handle data, track deadlines and manage records effectively.
- Willingness to learn AI‑enhanced systems.
