Van Sales Administrator – Vehicle Order & Registration

About the role

We are seeking a highly organised and detail‑oriented Van Sales Administrator to support our van sales operation across retail, SME and fleet customers. Based in Welham Green, you will ensure accurate processing of vehicle orders, purchases and registrations while maintaining compliance and documentation standards.

Key responsibilities

• Process new and used vehicle orders, amend specifications with the factory in Germany and enter deals into internal invoicing systems.
• Purchase used stock and part‑exchanges, completing all required checks and documentation.
• Register new vehicles using the RAV system, preparing pre‑taxation paperwork and storing documents in line with DVLA and manufacturer guidelines.
• Prepare, review and manage sales and purchase invoices, registration documents and handover forms using digital deal files and archives.
• Assist with monthly stock checks for new and used vehicles and update vehicle locations in internal systems.
• Produce daily reports and support ad‑hoc administrative tasks to ensure data accuracy and compliance.

Required profile

• Experience in an administrative or sales support role, preferably within the motor or commercial vehicle sector.
• Strong organisational and time‑management abilities with high attention to detail.
• Ability to work independently and collaboratively within a team.
• Flexibility to handle ad‑hoc tasks and work Monday‑Friday, 9 am‑5 pm.

Required skills

• Proficiency in Microsoft Office applications (Word, Excel, Outlook).
• Familiarity with DVLA systems and vehicle registration processes.
• Experience using the RAV system for vehicle registration.
