About the role
This hands‑on Administration Supervisor role sits within a small international financial services organisation in London. Reporting to the Head of Administration & Projects, you will lead a compact administration team while overseeing vendor management, governance, executive support, facilities and operational activities.
Key responsibilities
- Lead, supervise and support a small administration team, prioritising workloads and maintaining service levels.
- Act as deputy to the Head of Administration & Projects, providing continuity across administration, facilities, project coordination and IT support.
- Oversee vendor management, including supplier onboarding, risk assessments, contract administration, invoice approval and payment processing.
- Maintain governance and control frameworks, ensuring policies and procedures are consistently applied.
- Build and manage relationships with senior stakeholders, supporting Executive Committee activities and preparing presentations, reports and business communications.
- Coordinate office management and facilities matters to ensure smooth day‑to‑day operations of the London office.
- Support project delivery and continuous‑improvement initiatives, enhancing operational processes.
- Conduct regular one‑to‑one meetings, provide coaching and foster a collaborative, high‑performing team culture.
- Assist with audit, compliance and governance requirements, ensuring accurate record‑keeping.
Required profile
- Previous experience supervising, mentoring or managing administrative staff in a corporate or professional environment.
- Strong administrative background within a financial services or similar sector.
- Excellent organisational, communication and stakeholder‑management skills.
- Proactive problem‑solver with sound judgement and the ability to work under pressure.
