Client Services Administrator

About the role

The Client Services Administrator will act as the first point of contact for external callers, handling enquiries professionally and efficiently. The role supports the law firm’s day‑to‑day operations by managing communications, scheduling, and front‑of‑house duties when required.

Key responsibilities

• Answer and filter incoming telephone enquiries, take accurate messages and forward them promptly.
• Enter confidential data, monitor the information inbox and route queries to the appropriate team.
• Book meetings, arrange travel or courier services, and manage desk space for visiting employees.
• Provide occasional reception support: greet clients, maintain a tidy reception area, set up and clear meeting rooms.
• Handle incoming and outgoing post, scan documents into the management system, and deliver local parcels.

Required profile

• Excellent attention to detail and a proactive, ‘can‑and‑will‑do’ attitude.
• Strong diary and inbox management skills.
• Clear oral and written communication with a professional client‑care approach.
• Ability to work in a fast‑paced environment, multitask and prioritize workloads.
• Independent yet collaborative, with strong organisational abilities.
• Flexibility to support front‑of‑house duties when needed.
