Crewing Operations Coordinator

About the role

We are seeking a Crewing Operations Coordinator to join our team in Crawley. You will coordinate the booking and management of on‑site technical crew for live events across the globe, ensuring smooth delivery for our corporate, sport, broadcast and entertainment clients.

Key responsibilities

• Source, negotiate and book technical crew for multiple worldwide events.
• Arrange complex travel itineraries, including flights, trains, car hire and transfers.
• Process visas, work permits and second‑passport requirements.
• Handle event accreditation and maintain accurate internal records.
• Maintain on‑site engineer and freelancer diaries using the Rental Point system.
• Monitor purchase orders and reconcile invoices for travel and expenses.
• Assess freelance engagements against IR35 tax rules and keep related records.
• Onboard new freelancers through the contractor approval process.
• Update public liability insurance data and crew documentation such as passports and certifications.
• Support the administration and booking of on‑site crew training.

Required profile

• Strong ability to plan, prioritise and multitask under pressure.
• Excellent communication and interpersonal skills.
• Proven customer‑service experience with meticulous attention to detail.
• General computer literacy and proactive, self‑motivated attitude.

• Microsoft Office suite.
