Executive Assistant to Founders – London Art Gallery

About the role
We are seeking an Executive Assistant to support the Founders of a prestigious privately‑owned art gallery in central London. The role combines high‑level executive support, diary and travel management, and day‑to‑day gallery administration in a fast‑moving, professional environment.
Key responsibilities
- Provide comprehensive administrative support to the Founders, managing complex, frequently changing diaries and meeting schedules.
- Coordinate international and domestic travel arrangements, including flights, accommodation, transfers, itineraries and restaurant bookings.
- Prepare briefing materials, compile documents and background information for meetings.
- Handle correspondence, act as a discreet point of contact for clients, collectors, advisers and external stakeholders.
- Assist with expense claims, invoice processing and maintenance of accurate financial records.
- Oversee gallery operations: liaise with contractors, manage supplies, arrange maintenance, security and cleaning services.
- Support exhibition and event preparation, welcome visitors and ensure a polished client experience.
- Maintain organised digital and physical filing systems, databases and contact records, and coordinate artwork administration such as photography, condition reports and shipping logistics.
Required profile
- Highly organised, proactive and able to work independently with a strong attention to detail.
- Discreet and trustworthy when handling confidential and commercially sensitive information.
- Comfortable in a fast‑paced environment where priorities shift quickly.
- Excellent communication skills and a professional demeanor when interacting with high‑net‑worth clients and partners.
