Facilities Coordinator – London

About the role

We are looking for a Facilities Coordinator to join our client’s London office. You will be responsible for the smooth operation of building services, ensuring health and safety compliance and supporting a safe, efficient workplace for all staff.

Key responsibilities

• Oversee day‑to‑day office facilities and building services, including cleaning, security and maintenance.
• Schedule and monitor preventive maintenance (PPM) and manage reactive repairs.
• Carry out statutory compliance checks such as fire alarms, emergency lighting and water hygiene.
• Maintain HSE records, act as Fire Marshal and conduct risk assessments and safety audits.
• Manage third‑party suppliers, negotiate contracts and monitor service level agreements.
• Coordinate office moves, seating plans, space optimisation and signage.
• Maintain security systems (CCTV, access control, alarms) and support telephony/IT infrastructure.
• Control stock of office supplies, handle purchasing, invoicing and cost control.
• Assist with facilities budgets, financial reporting and identify cost‑saving opportunities.
• Support refurbishment projects, sustainability initiatives and business continuity planning.

Required profile

• Previous experience in facilities, maintenance or customer‑service environments.
• Relevant certifications are desirable (First Aid at Work, Fire Warden Training, IOSH Working Safely).
• Strong organisational skills and ability to work under pressure.
