Facilities & Travel Coordinator

About the role

Air Charter Service is seeking a Facilities & Travel Coordinator to manage company flats, hotel bookings and visitor experience at its London head office. The role ensures new employees and guests receive a seamless, high‑quality welcome and supports ongoing facilities projects.

Key responsibilities

• Manage all aspects of company flats, including checks, cleaning audits and reporting.
• Coordinate flat bookings and overflow hotel reservations for ACS colleagues.
• Greet and orient visiting staff, provide out‑of‑hours support and demonstrate flat amenities.
• Oversee flat refurbishment, upgrade projects and liaise with contractors.
• Monitor external contractor performance and control expenditure.
• Develop and present improvement ideas for flats and user experience.
• Maintain relationships with local hotels to secure best rates and manage bookings.

Required profile

• Experience in a customer‑facing role; hospitality background preferred.
• Proven ability to work with suppliers, manage contracts and handle tender processes.
• Excellent organisational and project‑management skills with strong attention to detail.
• Flexibility to work evenings, weekends and early mornings (time‑off in lieu provided).
• Residence in the Kingston‑upon‑Thames area.
