FIRAS & Minor Works Administrator – Property Maintenance

About the role

Masterfix is seeking a detail‑focused FIRAS & Minor Works Administrator to support its Project Managers in delivering property maintenance and fire‑protection projects across London. You will act as the administrative hub, ensuring smooth project flow from enquiry to completion.

Key responsibilities

• Provide day‑to‑day administrative support to Project Managers, including raising work orders, purchase orders and quotations.
• Maintain accurate project records, prepare files and keep documentation up to date.
• Monitor project progress and update internal systems regularly.
• Coordinate engineer and subcontractor diaries, arrange site visits, surveys and appointments.
• Order materials, liaise with suppliers on deliveries and assist in organising labour and resources.
• Compile and issue passive fire certification and completion documentation, ensuring all compliance paperwork is received before project close‑out.
• Upload required documents to client portals where needed.
• Serve as the primary point of contact for clients, residents and contractors, providing project updates and directing enquiries to the appropriate manager.
• Prepare reports and spreadsheets and support invoicing by verifying completed works.

Required profile

• Organised and detail‑oriented with strong administrative and coordination abilities.
• Experience in property maintenance, facilities management, construction or project administration.
• Ability to work in a fast‑paced environment and communicate clearly with multiple stakeholders.
