HR Specialist – HR Operations & Security Controller

About the role
This position sits within the HR Operations team and is responsible for delivering accurate, timely, and compliant HR administration across the employee lifecycle. The role also acts as the Security Controller for Canon UK & Ireland, overseeing mandatory vetting processes to meet customer security requirements.
Key responsibilities
- Process onboarding, internal moves, and leaver documentation ensuring accuracy and timeliness.
- Maintain electronic employee files and upload documents into HR systems.
- Prepare and validate payroll information before cut‑off dates.
- Upload and maintain HR data in HR Oracle and other HR systems, ensuring data integrity.
- Track employee documentation such as sickness notes and statutory records.
- Produce HR reports (headcount, absence, performance) for HRBPs and audit compliance.
- Provide administrative support, preparing employee letters and documentation.
- Serve as first point of contact for employee queries on contracts, absence, payroll, and policies.
- Support HRBPs with new‑employee inductions.
- Contribute to HR projects focused on system improvements and process enhancements.
- Act as Security Controller, managing vetting processes for employees and contractors.
- Ensure security checks are completed on schedule to protect contracts and client sites.
Required profile
- Strong organisational skills with high attention to detail.
- Comfortable handling high‑volume, sensitive, and confidential data.
- Experience in HR administration and familiarity with HR systems (desirable).
- Intermediate Excel capability.
- Customer‑focused mindset with a commitment to high‑quality service.
