IFA Administrator

About the role

We are seeking an experienced IFA Administrator to join a leading financial planning practice in Berkhamsted. The role provides first‑class administration support to the client services team, helping the firm deliver high‑quality, independent advice to private clients, charities and trustees.

Key responsibilities

• Gather data and prepare monthly client valuations.
• Liaise with product providers to obtain plan information, illustrations and other details for new and existing clients.
• Schedule annual and half‑yearly client reviews and support the team in gathering information for reports.
• Monitor and progress client transfers, coordinating with the implementation team and product providers.
• Maintain the client management system (Xplan) by inputting and updating client data.
• Ensure client files are complete, tidy and contain current AML documentation.
• Assist in preparing client tax packs, including checking consolidated tax certificates, capital gains tax and pension tax information.
• Complete the Client Take‑On process, including ID3 Global checks and issuing Letters of Authority.
• Bind and dispatch client reports in a timely manner.
• Manage the team diary for client and prospect meetings and support meeting preparation.
• Adhere to regulatory compliance and company procedures.

Required profile

• Previous experience in financial services administration.
• Understanding of AML requirements and regulatory compliance.
• Ability to work accurately with client data and documentation.
