IFA Administrator

About the role

The IFA Administrator will join a busy financial advisory team in Glasgow, providing essential support to the Financial Planner and Paraplanner. You will help deliver a high standard of service to clients while ensuring all administrative processes are accurate and compliant.

Key responsibilities

• Manage the LOA (Letter of Authority) process for new business.
• Maintain client files and data to a high standard within regulatory and legislative remits.
• Provide support to clients regarding their existing holdings.
• Add client details (personal, portfolio, service, transaction) to the back‑office system and ensure data accuracy.
• Prepare annual review packs for each client.
• Process client instructions promptly and accurately.
• Book annual reviews for the designated Financial Planner.
• Issue policy documents and other administrative paperwork.
• Prepare invoices and manage related paperwork.
• Enable and support clients to meet their financial goals while minimising potential harm.
• Efficiently manage workload and take ownership of actions to ensure timely completion.

• Ability to provide high‑quality administrative support to a Financial Planner and Paraplanner.
• Commitment to delivering a high standard of service to clients.
• Focus on building trust and strong relationships with clients and internal team members.

Required skills

What we offer

• Basic salary up to £35,000 per year.
• Hybrid working – three days a week in the office.
• Pension contribution: 4% employee and 4% employer in year 1, employer match up to 5% after year 1.
