Maintenance & Contracts Co-ordinator

About the role

This full‑time, office‑based position supports the Contracts Team in a growing company located in Leighton Buzzard. You will coordinate maintenance schedules, manage contracts and provide essential administrative assistance to ensure smooth field service operations.

Key responsibilities

• Schedule reactive and planned maintenance jobs using the contract schedule.
• Process and verify purchase orders received from customers.
• Manage calendars for Field Service Engineers and collate their job reports.
• Identify required repair quotes and submit approved reports to clients.
• Provide general administrative support to the Office Contracts Team Leader.
• Maintain relationships with customers via phone and email.
• Keep the maintenance contract schedule up‑to‑date and accurate.
• Prepare quote requests and input site information into risk‑assessment templates.
• Collect monthly reporting data from the field service team.
• Handle telephone answering, emailing, filing and other routine office duties.

Required profile

• Strong diary‑management experience.
• Ability to handle maintenance works and coordinate quotes, works requests and invoicing.
• Excellent customer service and organisational skills.
• Capable of working under pressure and balancing workload.
• Proficient with standard office software (Outlook, MS Word, MS Excel, MS Office 365, Teams).
