Maintenance Coordinator

About the role

The Maintenance Coordinator will act as the central hub between property managers and in‑house engineers, overseeing the full lifecycle of maintenance work orders. Based in Takeley, Essex, you will ensure that reactive and planned jobs are scheduled, tracked and closed efficiently, supporting a fast‑paced property maintenance operation.

Key responsibilities

• Receive, log and qualify incoming maintenance requests, both reactive and planned.
• Dispatch jobs to engineers or contractors based on priority, location and required skill set.
• Liaise with property managers to diagnose issues, provide updates and manage expectations throughout the job.
• Monitor active jobs against agreed Service Level Agreements and escalate when necessary.
• Maintain accurate records of job notes, materials used and completion times.
• Verify contractor invoices against work orders and ensure compliance with health and safety documentation, including RAMS.

Required profile

• Previous experience in a coordination, administration or customer‑service role.
• Strong organisational ability to manage multiple jobs simultaneously.
• Clear verbal and written communication skills.
• Comfortable working in a fast‑paced, operational environment.
• Desirable: background in property management, facilities management or construction.
• Desirable: working knowledge of property maintenance trades such as plumbing, electrical and carpentry.
