Purchasing Assistant

About the role

The Purchasing Assistant will be responsible for controlling and monitoring food and beverage stocks across the hotel and conference centre. You will manage ordering, receipt, and distribution of all stock items while working closely with both F&B and non‑F&B teams to meet the hotel's procedures and targets.

Key responsibilities

• Supervise and control the day‑to‑day operation of the goods receiving area and its team.
• Manage the cellar and dry stores, including raising orders, issuing stock, and receiving deliveries.
• Enter stock transfers into the MPS system on a daily basis.
• Liaise with suppliers regarding incorrect or non‑delivery of goods.
• Obtain and record supplier credits promptly.
• Respond to invoice‑related queries from Head Office.
• Ensure proper storage of crates, gas cylinders, kegs, bottles and organise regular collections.
• Maintain a tidy and orderly filing system.
• Report maintenance requirements to Engineering and inform the Cost Controller.
• Conduct regular checks on F&B outlet stock levels.

Required profile

• Experience supervising goods‑receiving operations in a hospitality environment.
• Ability to manage cellar and dry‑store activities, including ordering and stock issuance.
• Strong attention to detail for accurate stock transfers and supplier credit handling.
• Good communication skills for liaising with suppliers and internal departments.
• Organisational ability to maintain filing systems and report maintenance needs.
