About the role
We are seeking a proactive, organised Secretary to join our London office. The role supports day‑to‑day business operations, provides high‑quality assistance to colleagues and clients, and contributes to the smooth running of administrative and company secretarial functions.
Key responsibilities
- Prepare, type and file client correspondence in line with firm procedures.
- Manage engagement letters and send documentation through client portals.
- Support billing processes, including printing and issuing invoices to clients.
- Assist with new client onboarding and completion of client forms.
- Support proposal preparation for prospective clients.
- Provide general administrative support across the office.
- Carry out bulk scanning and document management tasks.
- Act as a key point of contact for clients and colleagues, handling incoming calls and correspondence professionally.
- Ensure all communications are responded to within agreed deadlines.
- Provide reception cover when required and help maintain a welcoming office environment.
- Assist with the organisation of internal and external events.
- Support company incorporations and company secretarial processes, including managing officer appointments and company changes.
- Process share transfers, allotments and dividend documentation.
- Prepare and file confirmation statements and dormant accounts.
- Assist with registered office changes, company dissolutions and related filings.
- Support Land Registry searches and bank audit requests.
Required profile
- Highly organised and proactive with strong attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet tight deadlines.
- Professional demeanor when dealing with clients and colleagues.
