Service Administrator

About the role

We are seeking a proactive Service Administrator to support our repairs and service department on a 9‑month fixed‑term maternity cover. Reporting to the Service Manager, you will provide essential administrative and customer‑service functions in a friendly, collaborative environment.

Key responsibilities

• Transfer stock using the in‑house system.
• Produce quotations based on data from Excel spreadsheets and an Access database.
• Liaise with customers via email and telephone regarding repair and service orders.
• Track orders, manage paperwork, and respond to enquiries about order progress.
• Process approvals, raise pro‑forma invoices, and issue spares material requirements.
• Create invoices, delivery notes, and release orders in the internal system, logging releases onto a spreadsheet.
• Set up new customers with online tracking details and conduct follow‑up service calls.

Required profile

• Confident, professional telephone manner with strong written and verbal communication.
• Numerate with attention to detail.
• Competent user of Microsoft Word, Excel, and Outlook.
• Experience using a database or CRM system.
• Sales order processing and quoting experience is desirable.
• Background in repairs, warranty, or service administration is advantageous.
