Speaker & Programme Coordinator

About the role

You will play a key role in delivering high‑impact conferences and awards programmes across the food, nutrition, agriculture, materials and water sectors. You will act as the primary point of contact for speakers, judges and moderators, ensuring they are fully prepared and engaged from confirmation through to event delivery. Your organisational and communication skills will keep programmes on track and support successful international B2B events.

Key responsibilities

• Coordinate all communications with speakers, judges and moderators throughout the event lifecycle.
• Manage speaker attendance, biographies, headshots, presentations and other materials to meet deadlines.
• Organise speaker invitations, briefing sessions, preparation calls and diary scheduling.
• Maintain accurate records in CRM systems, event platforms and programme databases.
• Coordinate awards judging activities, including communications, scheduling and progress tracking.
• Track deadlines, manage stakeholder workflows and proactively escalate risks.
• Support the delivery of conferences and awards programmes, ensuring all stakeholders are briefed and prepared.

Required profile

• Excellent organisational skills with the ability to manage multiple tasks and stakeholder requests simultaneously.
• Strong written communication and confidence when dealing with senior external stakeholders.
• Experience coordinating activities, managing workflows or assisting with project delivery in an administrative, operations, customer service or events environment.
• High levels of accuracy and attention to detail when maintaining records and schedules.
• Proactive, solutions‑focused approach with the ability to identify and address potential issues early.

Required skills

• Confidence using CRM systems.
• Experience with databases or similar information‑management tools.
