Workplace Operations Coordinator

About the role

The Workplace Operations Coordinator will support the workplace strategy of a UK‑wide financial services organisation. Reporting to the Workplace Operations Manager, you will ensure that office environments are safe, professional and fully operational across national, regional and local sites.

Key responsibilities

• Act as deputy to the Workplace Operations Manager, maintaining continuity and operational excellence.
• Oversee day‑to‑day office upkeep, triage requests and liaise with leadership, landlords and contractors.
• Manage central procurement of office supplies, equipment and facilities services.
• Coordinate maintenance schedules and ensure compliance with health and safety regulations.
• Maintain property records, including leases, insurance, business rates and service charges.
• Identify cost‑saving opportunities through contract rationalisation and service consolidation.
• Support the Business Continuity Plan to sustain services during disruptions.
• Manage relationships with cleaning companies, waste disposal services and other facilities contractors.

Required profile

• Proven experience implementing health and safety policies, risk assessments and incident reporting.
• Highly organised with strong practical problem‑solving abilities.
• Confident in liaising with stakeholders at all levels and third‑party vendors.
• Experience managing facilities, property portfolios or workplace operations.
• Desirable: knowledge of lease management and compliance requirements.
