Rental Controller – Manage Fleet & Transport

About the role

The Rental Controller is responsible for overseeing the short‑term and contract rental fleet at the depot, ensuring efficient utilisation, compliance with safety regulations, and seamless coordination of transport activities. Reporting to the Depot Manager, the role combines administrative precision with strong customer‑facing skills.

Key responsibilities

• Process enquiries, prepare quotations and manage short‑term rental (STR) agreements.
• Maintain accurate records of STR agreements, transport notes and truck files.
• Ensure all rental machines have up‑to‑date LOLER inspections and compliance documentation.
• Resolve invoice queries for both contract and STR rentals.
• Update the Kerridge system for truck movements and contract files.
• Produce weekly availability lists and monitor fleet utilisation to achieve at least 85% usage.
• Coordinate delivery and hand‑over of new and refurbished trucks with sales, VSB and the refurbishment centre.
• Schedule daily transport for casual hires, demos and new trucks, managing both internal and external transport budgets.
• Prepare monthly invoicing, utilisation reports and stock‑take variance resolutions.
• Handle demonstration unit requests and coordinate collection/delivery across depots.
