About the role
This full‑time position supports the London headquarters of a global shipping business, providing both administrative and front‑of‑house services. You will work closely with the Global Administration Manager and HR Manager, ensuring smooth daily operations for a team of around 80 employees.
Key responsibilities
- Deliver a professional reception experience, handling visitors and phone calls.
- Coordinate meetings, manage diaries, book rooms and organise office logistics.
- Maintain the central administration inbox and support internal approval processes.
- Arrange travel bookings and visas using internal systems.
- Oversee office supplies, kitchen upkeep and shared spaces.
- Support onboarding and induction for new hires in London and globally.
- Assist with HR administration, including onboarding documentation and off‑boarding coordination.
- Provide high‑quality support to senior stakeholders across teams.
Required profile
- Proven experience in administrative, receptionist or team‑support roles within a fast‑paced office.
- Highly organised with strong attention to detail and the ability to juggle multiple priorities.
- Professional, calm and polished communication style.
- Proactive, reliable and confident in taking ownership of tasks.
- Positive, team‑focused attitude and willingness to work full‑time on‑site.
- Previous exposure to shipping or logistics is a plus, but not essential.
