About the role
This permanent Band 3 Secretary position supports the Surgery & Specialist Services Directorate at Royal Victoria Hospital, Belfast. The role provides essential administrative assistance to clinical teams, ensuring smooth day‑to‑day operations within a busy hospital environment.
Key responsibilities
- Manage incoming and outgoing correspondence, including telephone calls and emails.
- Maintain accurate patient and clinical records in line with NHS standards.
- Schedule appointments, meetings and theatre lists for surgical staff.
- Prepare and distribute minutes, reports and other documentation.
- Handle enquiries from patients, visitors and external partners.
- Ensure filing systems are up‑to‑date and compliant with data protection policies.
- Support flexible working arrangements and respond to ad‑hoc administrative requests.
Required profile
- Minimum GCSE level qualifications (or equivalent).
- Previous experience in an administrative or secretarial role, preferably within a healthcare setting.
- Strong organisational skills and the ability to prioritise tasks.
- Excellent written and verbal communication skills.
- Commitment to delivering high‑quality service in line with NHS values.
