About the role
The Support Secretary provides high‑quality secretarial and administrative assistance to medical staff within the Adult Primary Care Mental Health Service. Working part‑time on a fixed‑term basis, the role involves managing workload, handling enquiries and ensuring smooth patient‑related administration.
Key responsibilities
- Audio‑type clinic letters, discharge summaries, reports, appointment letters and other correspondence using Winscribe.
- Manage telephone and face‑to‑face enquiries from staff, patients, relatives, carers and external agencies, prioritising appropriately.
- Maintain patient data on departmental databases and hospital systems, update waiting lists, process referrals and book appointments.
- Perform general administrative duties such as filing, scanning reports and providing cover for other roles when required.
- Work independently within defined protocols, seeking guidance from a supervisor or line manager as needed.
Required profile
- Understanding of NHS Greater Glasgow and Clyde policies, including Health & Safety, GDPR and confidentiality.
- Ability to work on own initiative after induction and on‑the‑job training.
- Commitment to a Personal Development Plan.
- Awareness of secondment requirements for internal and external applicants.
Required skills
- Proficiency in audio typing using Winscribe software.
