IFA Administrator – Financial Planning Support

About the role

If you are seeking closer day‑to‑day engagement with advice delivery rather than working in a detached back‑office team, this role offers direct one‑on‑one collaboration with a Financial Planner. You will manage end‑to‑end administration across investments, pensions and protection, providing a clear line of sight over client outcomes within a structured, modern practice.

Key responsibilities

• Process new business across pensions, investments and protection, tracking pipeline submissions through to completion to keep client onboarding efficient.
• Issue letters of authority, gather policy information and liaise with providers such as Aegon, AJ Bell, Fidelity and Aviva to ensure advisers have accurate data.
• Work alongside paraplanners and advisers to prepare client review packs, ensuring suitability reports and supporting documents are ready well ahead of meetings.
• Maintain accurate and audit‑ready records on Xplan, coordinating post‑meeting actions and client communications within agreed service levels.

Required profile

• Prior administration experience within an IFA, wealth management or financial planning practice.
• Working knowledge of financial products across pensions, investments and protection.
• Experience using wealth‑management CRM systems, ideally Xplan, and platform provider portals.
• Professional communication skills for liaising effectively with clients, advisers and product providers.
• RO examination study considered an advantage.
