Legal Executive Assistant (Dispute Resolution)

About the role
We are seeking a proactive Legal Executive Assistant to support the Dispute Resolution team at a leading City law firm. The role involves providing high‑level executive assistance to partners, senior associates and paralegals, ensuring smooth administration of contentious matters.
Key responsibilities
- Provide EA support to a 7‑person Dispute Resolution team, including the head of department, partners, senior associates and paralegals.
- Open client files and prepare AML and conflict‑check documentation.
- Draft, format and amend legal documents, correspondence and court forms such as witness statements and notices of change.
- Manage court filings via online portals and email.
- Support billing processes, raise invoices, payment requests and monitor disbursements.
- Assist with debt recovery, chase outstanding payments and produce related reports.
- Produce time‑recording summaries and other management reports.
- Conduct legal and factual searches, obtain supporting documentation using Infotrack.
- Maintain accurate filing systems and handle confidential information.
- Support complaints handling and ensure key deadlines are met.
- Perform general office tasks including printing, scanning, copying and document collation.
- Use document management tools such as DocuSign and Titanfile.
- Provide ad‑hoc support to the wider secretarial pool.
Required profile
- Minimum 2–4 years experience in a legal secretarial role within a contentious or litigation environment.
- Strong understanding of legal processes including AML, conflict checks, billing and court procedures.
- Experience supporting fee earners in a busy, transactional setting.
- Excellent attention to detail and confidence producing court bundles and documents.
- Proven organisational ability to manage multiple tasks and strict deadlines.
- Professional written and verbal communication skills.
- Discretion in handling confidential information.
- Proactive, adaptable and team‑oriented attitude.
