Programme Coordination Administrator

About the role

The Programme Coordination Administrator provides operational, administrative and coordination support to the Programme Coordination Team (PCT). The role ensures that data, documentation and schedules are accurate, up‑to‑date and well‑maintained, enabling smooth programme planning, coordination and reporting.

Key responsibilities

• Maintain and update coordination tools and trackers such as schedules, milestones, action lists, risks and dependencies.
• Support cross‑functional operational planning by aligning programme schedules, procurement timelines and enabling‑function inputs using standard templates.
• Collect, consolidate, quality‑check and format information from systems like Power BI, SharePoint and JIRA for reporting and planning.
• Track submission of inputs for reports, follow up on missing or overdue information, and manage document repositories with version control.
• Organise meetings, schedule appointments, prepare and distribute documents, and assist with routine communication between teams.
• Develop and improve coordination tools, templates, workflows and internal guidance to harmonise ways of working.

• Highly reliable and well‑organised with strong attention to detail.
• Comfortable working in a multi‑stakeholder environment and handling large volumes of information.
• Proactive in following up on overdue items and ensuring clear documentation.
